The Administrative Support Services Coordinator will work closely with the School of Medicine (MUSM) Finance and report to the Director of Finance and Operations. The main responsibilities will include assisting with the School of Medicine's personnel recruitment and onboarding processes. In addition, this position will manage the annual personnel budgeting process, which includes updating the personnel budget with all outstanding position numbers, salaries, and job titles for the School of Medicine and Mercer Medicine. The incumbent will also manage MUSM Faculty Bear Time process for tracking time off for all MUSM faculty (excluding Deans). The incumbent will also manage the Bear Card Access for the MUSM Macon Campus. The selected candidate will also be responsible for creating all PAFs (New Hires, Terminations, Adjunct, Additional Assignments) for the School of Medicine and Mercer Medicine. Other responsibilities are varied, but as part of cross training with the MUSM Finance Manager, will include, but will not be limited to, preparing and submitting requisitions, verifying deposits, reviewing monthly credit card statements and preparing JEs.

Required Qualifications

Two years of college coursework and two years of related administrative support experience, which should include experience with financial/budgeting processes, are required. In lieu of education, equivalent directly related experience will be considered. Effective communication skills, strict confidentiality and strong organizational skills with an attention to detail are required. Candidates must have the ability to work as a member of a team and independently; flexibility with various job requirements, positive attitude, willingness to learn and perform new tasks.
