This highly visible position on the Alumni Services team interacts with all of the University’s constituencies: alumni, donors, friends, staff, faculty, trustees, fans, vendors, and more. This position requires a polished professional who understands both the back-side and front-side of engaging with people and building relationships. Must be comfortable with details and equally as comfortable with people. This position provides a combination of expertise in alumni engagement and communication, event planning, budgeting, and data management for the Alumni Services department.

This position is integral in the planning, budgeting, and execution/hosting of special events for alumni and other external constituencies. Takes ownership of day-to-day and event-related responsibilities. Exercises daily discretion and judgment when speaking on behalf of the department.

Reports to the Associate Vice President for Alumni Services, and is expected to work with limited supervision and a high degree of initiative. Makes recommendations and proposals concerning matters such as event logistics, supply purchases, and best-practices in alumni relations. Has frequent interaction with the wider Advancement staff as well as other departments within the University. Attention to detail, demonstrated professional acumen in appearance, word, deed and skillset are integral to our alumni programs.

Required Qualifications

A bachelor's in Business, Marketing, Writing, Communications, Public Relations or related field from an accredited college/university is required along with two years of experience in post-college professional positions. Must have experience with event planning and engagement of external audiences, data management and financial/budgeting processes. Must have proficiency in the Microsoft Office Suite, including Excel, Outlook and Word, and have the ability to efficiently acquire new software skills.

Candidates must have a valid driver's license and be insurable by the university's carrier as this position requires some travel.

  • Must be able to tailor interactions for a variety of audiences, including alumni, students, parents, and all levels of staff.
  • Must follow professional office etiquette (behavior, attire, appearance, tone, mood, etc) in person, on the telephone, and in written correspondence.
  • Must exhibit emotional maturity and a stable, professional demeanor.
  • Must have a natural propensity for enthusiastic customer service.
  • Must be proficient in Microsoft Office, including Excel, Outlook and Word. Must be able to create mail merges, create and manipulate spreadsheets, word-process and print simple documents such as invitations, manage email folders and electronic calendar.
  • Must have experience with database searches/queries and the use of report-writing and filters.
  • Must be proficient in web/internet and social media usage, and be willing to learn new software applications, such as online registration tools.
  • Must have expertise in writing, producing and disseminating various promotional pieces
  • Must be able to meet deadlines on ongoing responsibilities with limited direction, as well as be able to accommodate daily task assignments that arise in a busy work environment. Efficient time management is a must.
  • Must have understanding of basic accounting (including payables and receivables).and budgeting.
  • Must be trustworthy and able to handle cash, credit card numbers, and personal information in confidence.
  • Must be able to compose business correspondence for a professional audience.
  • Must be willing to occasionally perform menial administrative as needed to support the essential functions of the job.
  • Must be able and willing to travel occasionally by ground, air, or sea. Must be willing to stay overnight in a hotel.
  • Must be diligent in performing duties with precision, correctness and excellence.
