Responsibilities

The position serves the Dean of the College of Professional Advancement and is the first line of service/information for Mercer University’s College of Professional Advancement. Under indirect supervision, the position serves to manage the overall administration of the Dean’s office to include support and coordination of the college’s academic programs; the dean’s schedule, calendar, and correspondence; faculty meetings, retreats, and other off-site meetings; adjunct faculty; course scheduling and room assignments; special events sponsored by the dean’s office; responding to requests from the Provost’s Office; and other tasks. The position requires the ability to respond knowledgeably to phone calls and other inquiries related to the college’s undergraduate and graduate programs and to refer appropriately and effectively. The position requires word processing and mailing of dean’s list, probation, and exclusion letters each semester; production of contracts for adjunct and full-time faculty; taking and disseminating minutes of faculty meetings; collecting and filing course syllabi from department chairs and end of course materials from adjunct faculty; ordering supplies for the dean’s office; consistent filing of documentation related to accreditation and maintenance of organized files, including personnel files and faculty meeting minutes as required for the Office of the Dean; tracking of budget expenses and payment of invoices within the Dean’s office and reconciliation of purchasing card in close coordination with the Associate Dean; and other related duties as assigned.

Required Qualifications

A bachelor's degree from an accredited college or university and one year of senior/executive level administrative support experience are required. In lieu of a degree, an equivalent combination of education and directly related experience from which comparable knowledge and abilities can be acquired will be considered.  Additionally, candidates must have proficiency with Microsoft Word, Excel, and PowerPoint.

The successful candidate must have the following:

  • Must be a self-starter who is able to work independently without constant supervision, anticipate reoccurring and unexpected work flow, and anticipate and meet deadlines consistently.
  • Must be able to organize, prioritize, and coordinate multiple assignments simultaneously in order to respond quickly to the needs of students, faculty, staff, and the general public.
  • Must have an extensive knowledge and command of business language for independent composition and editing of critical correspondence and other information generated in the Dean’s office and other departments that report to the Dean’s office.
  • Must have excellent oral communication skills for communicating to the public and to others within the institution.
  • Must have a thorough knowledge and proven skills in using modern office systems, equipment, and computer software to include Word, Excel, etc. to be used in organizing, scheduling, planning, reviewing, researching, and communicating, and managing the overall administration of the Dean’s Office.
  • Must be able to type quickly and accurately to support the demands of the office.
  • Must have a demonstrated capability for handling sensitive and confidential data/information in working and communicating the various levels within Mercer University and the College.
