Under direct and indirect supervision, the Academic Records Associate is responsible for the following: 1) Provide support to the PC-ACT program including curricular calendar, student scheduling and maintenance of academic records for student enrolled in the program on all three campuses; 2) Provide outcome data for PC-ACT program evaluation; 3)Record, maintain, and report MUSM medical student academic records; 4) Maintain the confidentiality of students’ academic performance at all times; 5) Administer examinations and manage of test results for preclinical programs and other curricular components as needed; 6)Provide administrative and management support for PBL tutorial program and other curricular components as needed; 7) Provide administrative support for Director of Assessment and Evaluation and Senior Associate Dean of Academic Affairs; 8) Provide academic support and information for faculty and faculty committees; and 9) Maintain records related to USMLE performance.

Required Qualifications

A high school diploma or GED is required along with two years of administrative support experience, including experience using Microsoft Office programs, particularly Word, Excel, and Access.  The successful candidate must have the ability to maintain the confidentiality of academic records as well as sensitive communications with students, staff, and faculty. Must exhibit ethical, reliable, and dependable behavior. This includes being prompt and responding in a timely manner to requests and deadlines. Must be able to receive and execute complex instructions precisely and accurately.

  • Ability to use Microsoft Office Suite (Word, Excel, and Access) and basic computer skills in order to record, maintain, and report information.
  • Capable of organizing and prioritizing workloads to address multiple emerging needs and to meet deadlines under high pressure
  • Provide a welcoming environment and be a persuasive communicator in order to provide services to faculty, staff, and students.
  • Utilize the office skills of typing, filing, and organization in order to gather, process, store, and report various types of information.

Pay Rate

Base: $11.29 an hour up to commensurate with experience
