Under the direct supervision of the Coordinator of Physical Plant Services, this position provides secretarial and office management services for the Physical Plant Department to include: answering the main Physical Plant phone; receiving and distributing work requests (by phone, facsimile, and email); entering work orders for building repair services performed by Physical Plant Maintenance and Batchelor & Kimball technicians; outside contractors; closing out work orders; assisting the Coordinator of Physical Plant Services, Batchelor Kimball and National Management in terms of building and room maintenance; dating and distribution of mail within the department; receiving package deliveries; dating and distributing invoices for signing; entering invoices for ROs/POs into CampusVue / Vantage system; and copying and filing. Performs other related duties as assigned.

Required Qualifications

A high school diploma or GED and a minimum of three years of prior administrative support experience are required.  This position will have multiple tasks occurring at one time and must work well under pressure. The person in this position is key in making it possible for the Physical Plant to provide excellent facility services for the campus in an efficient manner.

  • Ability to communicate in an excellent overall manner. Capable of using interpersonal skills in order to ensure that work requests and other information are presented in a thorough and comprehensive manner so that customers are pleased and reassured by the interaction with this person.
  • Ability to effectively use Microsoft Word and Excel to produce needed documents and reports.
  • Ability to learn the University‚Äôs accounting software in order to processing requisitions and invoices.
  • Ability to multi-task, exercise patience, and work well under pressure in order to accommodate interruptions from internal and external customers. Possess strong organizational and time management skills so that work tasks are effectively distributed, files are properly maintained and duties are completed in an efficient manner.

Pay Rate

Base: $14.03 an hour up to commensurate with experience
