Responsibilities

This position is the front-line for students, faculty, and parents interacting with the CLAS Associate Deans on issues related to retention, student complaints, grievances, student awards, class schedules, academic data collections, and all part-time faculty members in the College of Liberal Arts. The academic program support specialist needs excellent secretarial skills as well as good judgment in deciding on the importance of each problem. Other functions of the position include collecting syllabi for all courses being taught each semester and maintaining electronic databases; managing paperwork and paychecks relating to employment of adjunct, overload, and summer faculty; managing student records; helping manage the summer school budget; collecting and sending notifications of excused absences; the acquisition of office supplies; and acting as the primary liaison between the College of Liberal Arts and Sciences and certain other offices of the University (Registrar’s Office, Office of First-Year Programs and Academic Advising Center, etc.). Working under the supervision of two Associate Deans, the academic program support specialist will be successful to the extent that he/she can prioritize issues, manage a wide range of activities, coordinate schedules, and provide strong secretarial support.

Required Qualifications

A high school diploma or GED and two years of administrative support experience are required. The successful candidate must be proficient with Microsoft Word, Excel, and PowerPoint in order to handle daily files, correspondence, maintain budgets, create presentations (including graphs, charts, outlines, etc.). Must have excellent written and verbal communication skills in order to work with a diverse audience including faculty, staff, students, and parents. Must be able to update and maintain CLAS website. Must have the ability to multi-task and be discreet in dealing with confidential information.
